Optimisation of Operations · Project-Based

Operations, optimised.

Project-based support for education providers, businesses and consultancies — bringing structure to the work behind the work.

From one-day audits to multi-month embedded support. I scope every engagement to fit the problem, not the other way around.

01 — About

Operational excellence, by design.

Madiha Ghani Sodagar — Founder & Team Lead
Madiha
Founder · Optives 218

I spent over a decade in education, solving the same operational problems across various departments — scattered information, missing accountability, last-minute scrambles before every deadline. The patterns aren't unique to educational institutes. They show up in any growing service business where the work has outpaced the systems.

I started Optives 218 to bring structure to those moments — before they become crises. The work is practical, not theoretical: I build the trackers, the SOPs, the audit frameworks, the intake systems. The kind of work that quietly compounds, year after year.

If you're at the point where operations is starting to slow your team down — let's have a conversation.

— Madiha

The name says what I do. Optives stands for the optimisation of operational services — and that's the whole job. I help growing service businesses run more efficiently, more reliably, and with far less day-to-day friction. My work covers education providers, small-to-medium businesses and consultancies — particularly those where operations have grown in complexity faster than the systems supporting them.

My background is in education operations, where I spent over a decade leading university placement operations, managing sensitive data systems at scale, and working closely with senior leadership to streamline how the work got done. A formal grounding in Total Quality Management and Operations Management shaped how I approach the work; the decade of practice gave me the discipline.

I founded Optives 218 to bring that experience to growing businesses as an external partner — scoped, project-based, and outcome-focused. Engagements span workflow design, data management, intake operations, process optimisation, and digital transformation. Optives 218 currently operates as a solo practice, with trusted associates brought in for projects that benefit from extra hands.

Featured case study · Leadership engagement

From chaos to clarity.

The challenge

A University placement office was managing a full cohort of student applications — each one with multiple submissions, supporting documents, and approval chains across departments. The team had lost clarity over where each application stood; information was scattered across systems and channels, with no single source of truth. With submission deadlines closing in, the office needed a way to see the whole picture and ensure every application went out accurate and on time.

What I did

Brought in by senior leadership to lead a team of administrators and counsellors. Consolidated all applicant information into a unified live tracking system, established daily status reviews, coordinated the preparation of missing supporting documents, and verified all submissions — accurate, complete, and on time for every student. Sensitive student data was handled under the institution's existing confidentiality protocols throughout.

The tracking system built during this engagement was integrated into standard operations for future cycles. Discuss a similar project →
How this work translates

The operational pattern is universal: a service business with a hard deadline, scattered information across systems, and no single source of truth. The same approach — unified tracker, daily status discipline, decisive coordination — applies whether you're submitting applications, client deliverables, training cohort onboarding, or proposal pipelines. The deadline changes; the discipline doesn't.

Whether the work involves student records, financial data, board materials, or internal restructuring conversations — sensitive information is handled with the discretion a senior advisor brings to any serious engagement.
